This policy explains what personal information we collect, why we collect it, how we use it, and who we share it with. It applies to our website (001propertyservices.com.au), our email and phone enquiries, and the services we provide to property owners, guests, and real estate partners.

We’re committed to handling your personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

2. What Personal Information We Collect

The personal information we collect depends on how you interact with us.

If you’re a property owner or potential client:

  • Name and contact details (email, phone number)
  • Property address and details
  • Information about your Airbnb listing, bookings, and earnings
  • Payment and banking details, where required to pay out income

If you’re a guest staying at a property we manage:

  • Name and contact details provided through Airbnb
  • Booking dates and stay details
  • Messages you send us before, during, or after your stay

If you contact us through our website:

  • First name, last name,
  • Phone number and email address
  • The subject and content of your message

We don’t collect more than we need, and we don’t collect sensitive information (such as health information) unless you choose to share it with us — for example, if you tell us about an accessibility need for your stay.

3. How We Collect Your Personal Information

We collect personal information:

  • Directly from you — when you fill out our website contact form, email us, call us, or message us through Airbnb
  • Through the Airbnb platform — booking details, guest details, and messages are shared with us as part of managing a listing
  • From property owners — when they engage us to manage their property, they provide us with property and payment details
  • Automatically through our website — using cookies and analytics tools (see section 6)

4. How We Use Your Personal Information

We use personal information to:

  • Respond to enquiries about our services
  • Manage Airbnb listings, bookings, and guest communication on behalf of property owners
  • Coordinate cleaning, linen, and maintenance services for managed properties
  • Process payments and income reporting for property owners
  • Provide a smooth check-in and check-out experience for guests
  • Send updates about a booking or stay (for example, check-in instructions)
  • Improve our website and services
  • Meet our legal and accounting obligations (for example, GST reporting)

We don’t use your personal information for unrelated marketing without your consent, and we don’t sell your personal information to anyone.

5. Who We Share Your Information With

We only share personal information where it’s necessary to provide our services. This may include:

  • Airbnb — to manage listings, bookings, and guest communication
  • Our cleaning team — so they can prepare a property for a guest’s arrival (for example, guest names and check-in/check-out times)
  • Our maintenance partner — if a repair is needed at a property during a guest’s stay
  • Real estate agents — where a property is being managed on Airbnb during a sales campaign, and coordination is needed around open homes and inspections
  • Our accountant or bookkeeper — for income reporting and tax purposes
  • Service providers — such as the software platforms we use to run our business (see section 6)

We don’t share more information than each party needs to do their job.

6. Cloud Services, Cookies, and Overseas Storage

Like most small businesses, we use cloud-based software to run 001 Property Services. Some of these providers store data on servers located outside Australia (typically the United States). These providers have their own privacy and security policies. We only use well-established providers and take reasonable steps to make sure your information is handled securely by them.

Our website also uses Google Analytics, which places cookies on your device to help us understand how visitors use the site — for example, which pages are most popular and how people find us. This information is anonymised and aggregated; it isn’t used to personally identify you. You can disable cookies in your browser settings, or opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on.

7. How We Store and Protect Your Information

We store personal information using secure, password-protected cloud platforms. Access is limited to our team members who need it to do their job (for example, our cleaning team only sees the booking details they need to prepare a property).

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. No system is 100% secure, but we keep our tools up to date and limit access wherever we can.

We keep personal information only as long as we need it for the purposes described in this policy, or as required by law (for example, financial records are generally kept for five years for tax purposes).

8. Access, Correction, and Deletion

You can ask us for a copy of the personal information we hold about you, or ask us to correct it if it’s wrong or out of date. You can also ask us to delete your information, although in some cases we may need to keep certain records (for example, for tax or legal reasons).

To make a request, contact us using the details in section 10. We’ll respond within a reasonable timeframe — usually within 30 days.

9. Children’s Privacy

Our services aren’t directed at children, and we don’t knowingly collect personal information from children. If a booking includes children as guests, we only hold the information provided by the adult who made the booking.

10. Changes to This Policy

We may update this policy from time to time — for example, if we start using a new tool or our services change. The “last updated” date at the top of this page will reflect the most recent version. We’d encourage you to check back occasionally.
